Since the pandemic of COVID-19 emerged, our organization has been affected in various ways among them being the communication plans and policies. Many employees have been experiencing communication challenges despite the endless efforts they always use to overcome them. After analyzing our workplace communication practice during this pandemic, we came up with various recommendations which may help in overcoming these challenges within our organization. Some of the recommendations we came up with are discussed below. If they are effectively employed and adhered to by all stakeholders in our company, they will promote effective communication.

Using effective methods during virtual meetings.

In promoting effectiveness in our virtual meetings, some factors should be considered such as organizing the meetings well, adopting a mandatory video on policy, focusing on what is important and keeping the meeting short and sweet. Virtual meetings can be well organized by using various elements such as having a group calendar by sending it out early before the meeting and ensure that everybody confirms whether they are attending the meeting or not (Walters, et al., 2015). Having a notification system, finding a tool that works for the company such as Skype and zoom, and structuring our meetings are also important.

Offering social support among staff members.

Our organization will provide social support to all the staff members by frequently checking on them, developing the skills of the workers, inspiring them to support their ambitions, and enhance the growth of the organization. The social support will also entail building good relationships among the employees, coaching them regularly, and acknowledging their accomplishments.

Using effective means to communicate with customers.

For our organization to communicate effectively with the customers and increase customer satisfaction and loyalty, it will embrace some of the practices such as having patience, sharing accurate information, using proactive approaches which will definitely delight our customers, avoiding short cuts and using analogies which will help in getting our messages to everybody (Affran, Dza, & Buckman, 2019).

Coordinating the work shifts appropriately.

The organization will coordinate the work shifts appropriately by establishing a structure that will help create an effective workflow by coming up with a clear chain of command. Planning tasks and aligning activities should also be embraced by developing comprehensive plans to describe the work involved in our production.
